Institute Settings Module User Guide (Non-Technical)

This guide explains how school admins can manage institute profile details (logo and contact information) without technical knowledge.

Who should use this

  • Institute admin
  • Principal or authorized office manager
  • Communication/branding manager

Institute Settings menu map

From the left sidebar:

  • Institute Settings

Page purpose:

  • manage the institute profile used across the system and public website

What you can update

In this module, you can update:

  • Institute logo
  • School name
  • Address
  • Contact phone
  • Contact email
  • Website URL
  • EIIN number (optional)

Before you start

Please confirm:

  1. You have access to Institute Settings.
  2. The logo file is ready (if you plan to change logo).
  3. Website URL is in full format (for example, https://school.edu).

Logo upload rules:

  • Allowed formats: JPG, JPEG, PNG, WEBP
  • Maximum file size: 2 MB

1) Open Institute Settings

Path: Admin -> Institute Settings

When the page opens, existing institute information appears in the form.

If this is the first time setup, some fields may be blank.


  1. In Logo upload, click file chooser.
  2. Select an image file.
  3. Preview appears immediately on the page.
  4. Click Save Changes.

Notes:

  • Uploading a new logo replaces the previous logo.
  • If upload fails, check file size and format.

3) Update institute profile details

Fill or edit these fields:

  1. School name (required)
  2. Address (optional)
  3. Contact phone (optional)
  4. Contact email (optional)
  5. Website (optional, must be a valid URL)
  6. EIIN (optional)

Click Save Changes after editing.


4) Save and confirm

After clicking Save Changes:

  1. Wait for save completion.
  2. Confirm success message appears.
  3. Re-open the page to verify values are updated.

Where updates are used

Institute settings are used in key places such as:

  • tenant/public landing page branding (name, logo)
  • public institute contact information blocks
  • school profile identity across admin and visitor-facing pages

  1. Keep school name consistent with official documents.
  2. Use a clean logo with transparent background when possible.
  3. Use official phone and email only.
  4. Keep website URL current and valid.
  5. Review these details at least once every academic session.

Common issues and quick fixes

  • School name error: school name is required; do not leave blank.
  • Logo upload error: use JPG/JPEG/PNG/WEBP and keep file under 2 MB.
  • Website validation error: enter full URL with protocol (for example, https://...).
  • Cannot access page: your account may not have institute settings permission.
  • Old logo still showing: refresh browser cache and reload the page.

If users do not see latest UI updates, ask technical support to run frontend build/dev commands (npm run build or npm run dev).
