Dashboard Module User Guide (Non-Technical)

This guide explains how admin users can use the main dashboard to monitor school status quickly without technical knowledge.

Who should use this

  • Principal
  • Institute admin
  • Office manager and supervisors

From the left sidebar:

  • Dashboard

Purpose:

  • quick daily overview of student, teacher, staff, and class status

What you see on the Dashboard

The page has three main areas:

  1. Summary cards (top)
  2. Recent Students table
  3. Class Distribution list

1) Summary cards (top overview)

You will see 4 cards:

  • Total Students
  • Total Teachers
  • Total Staff
  • Total Classes

Important counting rules:

  • Students count includes only Active students.
  • Teachers count includes only active teacher records.
  • Staff count includes only active staff records.
  • Classes count includes only active classes.

Use these cards for a quick health check at login.


2) Recent Students panel

This table shows latest admitted/created active students.

Columns shown:

  • Student ID
  • Name
  • Class and section
  • Status

You can use:

  • View All button to open full Student List page.

If there are no recent entries, the panel shows a "No recent students found" message.


3) Class Distribution panel

This section shows student count per class.

For each class, you can see:

  • class name
  • number of active students
  • visual bar for quick comparison between classes

If no class data is available, the panel shows "No data available".


How to use Dashboard in daily routine

  1. Open Dashboard first.
  2. Verify counts look normal.
  3. Check recent admissions in Recent Students.
  4. Review class distribution for unusual imbalance.

During day

  • Use View All from Recent Students to move directly to Student management tasks.

End of day

  • Reopen Dashboard for quick operational snapshot before closing day work.

Access and visibility

To view Dashboard, your account needs dashboard viewing permission.

If menu is missing or page is blocked, ask admin to grant dashboard access.


Common issues and quick fixes

Dashboard card numbers look lower than expected

  • Check whether records are marked inactive.
  • Only active students/teachers/staff/classes are counted.

Recent Students is empty

  • No recent active student entries yet.
  • Confirm student records are saved with active status.

Class Distribution is empty

  • Check active classes are created.
  • Check students are assigned to classes and active.

I updated records but dashboard did not change immediately

  • Refresh/reopen the dashboard page to load latest data.

I cannot open Dashboard

  • Your role may not include dashboard view access.
  • Contact Super Admin/institute admin.

Good practices

  • Use Dashboard as the first page every day.
  • Treat sudden drops in counts as a data-check signal.
  • Follow up from Dashboard to Student/Academic modules for details.
  • Keep student, staff, and class statuses updated so dashboard remains accurate.
